Terms of Service
The terms that govern your use of OWIONE.

01. Agreement to these terms
These Terms of Service ("Terms") govern your access to and use of OWIONE, the Operations Intelligence Manager for SMEs. By creating an account or using the platform, you agree to these Terms on behalf of yourself and, if you're signing up for a company, on behalf of that company.
02. The service
OWIONE gives your business a single workspace for staying audit-ready, made up of modules working together:
- Compliance Manager — your daily workspace, surfacing priorities, risks, and tasks automatically.
- Document Centre — a structured home for certificates, licences, and evidence, with AI-assisted extraction.
- Tender Centre — tracking opportunities, deadlines, and submissions.
- Action Centre — the renewal alerts and follow-ups that keep your compliance record current.
03. Accounts
You must provide accurate information when creating an account and keep your login credentials confidential. The person who registers a company becomes its owner and can invite additional team members, assign roles, and control what each member can see and do. You're responsible for all activity that happens under your account.
04. Free trial & subscriptions
New workspaces on eligible plans start with a 14-day free trial, no credit card required. After the trial, continued use requires an active paid subscription, billed monthly and excluding VAT. You can upgrade, downgrade, or cancel your plan at any time from your account settings; changes to your plan take effect at the start of your next billing cycle. Cancelling stops future billing but does not retroactively refund the current billing period unless required by law.
05. Your content
You retain ownership of every document, record, and piece of data you upload to OWIONE ("Your Content"). You grant us a limited licence to host, process, and display Your Content solely to provide the service to you, including running it through our AI extraction engine to structure evidence for your compliance record. We do not use Your Content to train models shared across other customers' workspaces.
06. AI-assisted features
OWIONE's AI engine structures the evidence found in documents you upload; clear evidence is applied automatically, and anything uncertain, conflicting, or high-impact is routed to a human on your team for review. The rule engine always makes the final compliance determination, never the AI model alone. OWIONE is a tool that helps you manage compliance — it does not replace your own legal, regulatory, or professional judgement, and you remain responsible for the accuracy of your compliance record and for meeting your obligations to regulators, clients, and authorities.
07. Acceptable use
You agree not to:
- Use OWIONE for any unlawful purpose, or upload content you don't have the right to share.
- Attempt to reverse-engineer, scrape, or gain unauthorised access to the platform or other customers' workspaces.
- Interfere with the security, integrity, or performance of the service.
- Resell or provide access to the platform to anyone outside your company without our written consent.
08. Intellectual property
OWIONE, its logo, and the underlying software, design, and AI models are our intellectual property. These Terms don't grant you any rights to them beyond what's needed to use the service as intended.
09. Termination
You may stop using OWIONE and close your account at any time. We may suspend or terminate access if you materially breach these Terms, including non-payment, and will make reasonable efforts to notify you first except where immediate action is needed to protect the service or other users. On termination, you can export Your Content for a limited period before it's deleted in line with our Privacy Policy.
10. Disclaimers & limitation of liability
OWIONE is provided "as is." While we work hard to keep the platform accurate and available, we don't guarantee it will be error-free or uninterrupted, and we don't guarantee that using OWIONE will itself result in regulatory or contractual compliance — that responsibility remains yours. To the maximum extent permitted by law, OWIONE is not liable for indirect, incidental, or consequential damages arising from your use of the service.
11. Changes to these terms
We may update these Terms as the product evolves. If we make material changes, we'll notify account owners by email before the changes take effect. Continuing to use OWIONE after that point means you accept the updated Terms.
12. Governing law
These Terms are governed by the laws of England and Wales, without regard to conflict-of-law principles.
